Logistics Co-ordinator

Role Purpose:
The Logistics Account Coordinator is responsible for ensuring the required support is in place to ensure all aspects of logistics activities are running smoothly in the key areas of logistics, inventory management, Customs procedures/ auditing and Export compliance. A key member of the logistics Supply chain team, the role involves reporting, planning, receiving and processing information.

Key responsibilities and duties
  • Co-ordinating end-to-end processes:
  • arranging deliveries (PL, AWB, customs orders, etc)
  • preparing related administration, notifications and reports, updating planned delivery dates
  • sending Packing lists, ETA information and shipping schedules to Affiliates or to Japan
  • preparing related commercial documents (quotation, PO, SO, Invoice)
  • coordinating with all parties (warehouse, Affiliates, NEC Japan)
  • Arranging deliveries:
  • monitoring status – inbound dates and availability dates, requested ETA
  • coordinating and arranging packaging, labelling
  • preparing documents for customs orders
  • creating delivery
  • sending notifications and tracking deliveries, providing PODs
  • creating commercial documents if applicable
  • running regular and ad-hoc reports, monitoring outstanding items
  • Handling day-to-day operational correspondence with logistics providers and maintaining relationship internally (with other departments) and externally
  • Maintaining process and adhering to customs procedures and related conditions stipulating to the importation and exportation of goods into and out of the United Kingdom
  • Following internal and external export compliance guidelines in order to avoid disputes with UK regulatory authorities / potential non-compliance which might impact business continuity
  • Inventory reconciliation and stock check auditing

Other requirements:
  • Working/intermediary knowledge of SAP (2 years minimum)
  • Working/intermediary knowledge of MS software packages – Excel, Word and PowerPoint
  • Ability to self-allocate and self-manage logistics workload on a results orientated basis
  • Ability to multi-task and prioritise to meet tight deadlines
  • Ability to work within multicultural and multisite teams
  • Ability to communicate with all internal and external contacts by phone, email and personal contact
  • Customer focussed, with a “can do” approach to work
  • Effective communication skills
  • Good computer skills including accurate data entry, word processing and excel worksheets
  • Ability to plan effectively
  • Experience of working with multi-cultural teams
  • Experience of administration within a supply chain area

Education or professional qualification:
  • Logistics / Customs experience mandatory
  • SAP (MM, SD) knowledge mandatory
